What data we collect
When you create an account and use the Agencify platform, we collect and process the following categories of data:
- Account data: Name, email address, organization name, and authentication credentials (including Google OAuth tokens).
- Project and client data: Project details, tasks, time logs, milestones, files, and credentials you store within your workspace.
- Communication data: Messages synced from connected channels including Email (IMAP/SMTP), Upwork, Telegram, WhatsApp, and Slack.
- Financial data: Invoice details, billing configurations, payment statuses, and employee/contractor rates and banking details you enter.
- Usage data: Log data, device information, IP address, and feature usage patterns to improve the Service.
How we use the data
We use your data to operate, maintain, and improve the Agencify platform. Specifically:
- To provide core features: project management, invoicing, unified inbox, reporting, and client/employee portals.
- To sync and display communications from your connected channels (Email, Upwork, Telegram, WhatsApp, Slack).
- To generate and send automated daily reports to your clients via your configured channels.
- To send transactional emails such as invoice deliveries, Slack reminders, and account notifications via Resend.
- To analyze usage patterns and improve platform performance and reliability.
Data storage and security
Your data is stored on Agencify's infrastructure, hosted on Vercel (application) and Supabase (database and file storage). All data is encrypted in transit via TLS and at rest. We follow industry-standard security practices to protect your information.
Third-party integrations
When you connect third-party services (Slack, Gmail, Upwork, Telegram, WhatsApp, Resend), data is exchanged between Agencify and those services to provide the features you enable. Each integration only accesses data necessary for its function. We do not sell or share your data with third parties for advertising or marketing purposes.
Payment processing
All payments are processed by Paddle.com Market Limited (“Paddle”), which acts as our Merchant of Record. When you subscribe to a paid plan, Paddle collects your payment information (such as credit card details and billing address) directly. Agencify does not store or have access to your full payment card details. Paddle processes your data in accordance with their Privacy Policy. We receive from Paddle only the information necessary to manage your subscription, such as your subscription status, plan, and transaction history.
Cookies and analytics
Agencify uses essential cookies to maintain your session and authentication state. We may use analytics tools to understand how the platform is used and to improve the user experience. No third-party advertising cookies are used.
Data retention and deletion
Your data is retained for as long as your account is active. You can delete individual records (projects, clients, invoices, messages) at any time from within the platform. Upon account deletion, all associated data will be permanently removed within 30 days, except where retention is required by law.
Your rights
You have the right to access, correct, export, or delete your personal data at any time. To exercise these rights, contact us at the email below. We will respond within 30 days.
